Project Administrator

Silver Hotel Group is currently recruiting for a Project Administrator, Reporting to Corporate Director of Engineering & Projects / Projects Team.

Key Responsibilities

Reporting to the Corporate Director of Engineering & Projects, the Project Administrator is responsible for:

  • Help the project managers with administrative duties and processes.
  • Travel to job sites and generate site reports.
  • Schedule meetings and keep minutes.
  • Assist with planning, from start to finish of the project.
  • Prepare and distribute project materials.
  • Implement policies and procedures.
  • Order material, coordinate delivery and follow up.
  • Keep up to date inventory of the warehouse stored material.
  • Track expenses and work on budget forecast
  • Monitor project progress.
  • Alert the project manager to issues as they arise.
  • Report on project performance
  • Act as point of contact for the project team and Project Stakeholders
  • Assess project risk and generate reports.
  • Calculate project metrics, such as quality, schedule, costs, health, etc.
  • Collaborate on stakeholder presentations.
  • Foster positive relationships with stakeholders
  • Complete materials take off and prepare purchase orders.
  • Maintaining up to date project documents including schedule, financial performance sheets and documentation
  • Organize documents, archiving files and ensuring all team members have access to necessary documentation.
  • Assist in preparing Tenders and obtaining quotes.
  • Update expense report and assist in project accounting.

What We are Looking for...

  • Experience with executing projects hospitality industry is an asset.
  • Ability to understand engineering/construction plans/specifications, methods, and procedures.
  • Excellent written and oral communication skills.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Proficiency in AutoCAD
  • Proficiency in project management software, such as Microsoft Project or similar tools.
  • Detail oriented and able to work within very tight timelines.
  • The ability to multi-task in a fast-paced environment.
  • Can speak, read, write and understand English.
